Information we handle

An account is required. Depending on how you sign in, we process your email address or a Google or Apple account identifier. To sync your work, we store book files and covers, titles, reading positions, excerpts, images, map nodes, and your notes in your account. Your device also keeps a local copy for reading when sync is unavailable.

Why we use it

We use account and book data to authenticate you, synchronize and restore your library, enforce the book limit, and answer support requests. We use purchase identifiers and subscription status to give the same membership to your signed-in devices and to prevent a purchase from being claimed by another account.

Services involved

MindNote manages account authentication and stores account and reading data in PostgreSQL. Cloudflare R2 stores private book files and upload chunks. Our email delivery provider sends account verification and password reset messages. Waffo Pancake handles website checkout and subscription management. Apple and Google handle sign-in or in-app purchases when you choose those channels. Payment card details are entered with the payment provider, not in MindNote. These services may process data in different countries.

Local storage and security

The app stores its account session and a last-confirmed membership limit locally so you can reopen downloaded books when offline. The website keeps its sign-in session in browser session storage. Access to cloud books and notes requires an account session.

Client analytics

Where configured in your installed build, MindNote offers optional Google Analytics 4 usage measurement and Microsoft Clarity interaction recording in the app WebView. These load only after your consent, which you can withdraw through the app’s analytics settings. We use fixed screen and action labels for importing a book, creating an excerpt, reorganizing nodes, and starting or completing a purchase, mask app content and do not intentionally send account identifiers, book contents, filenames or excerpts. Your choice is stored locally for up to 180 days.

Website analytics

Public website pages use Google Analytics 4 for visit measurement and Microsoft Clarity for website interaction and session replay to understand visits and improve the website. These services may process device and interaction data and use cookies. They do not load on account, device-pairing or payment pages. We do not send book contents, excerpts or account identifiers to analytics.

Deletion and retention

Deleting a book removes its cloud source and linked notes, excerpts, images, map, and position after deletion synchronizes; deletion records remain to keep old offline copies from reappearing. Deleting an account removes its MindNote book data, files, sessions, and identity links. We retain a minimal deletion marker and purchase bindings without the MindNote account ID to prevent deleted accounts or old receipts being reused. Payment providers may retain their own transaction records under their policies.

Your choices

You can export a book with its reading work, delete a book, or request account deletion in the app. To ask about access, correction, portability, or another privacy request, email [email protected]. We will assess requests under the rules that apply where you live.
